Job Description
POSITION SUMMARY: This position will own the end-to-end recruitment process, from sourcing to onboarding, identifying and attracting potential high-performing internal and external candidates, and integrating new hires, transfers and promotions into vacant positions. Primary duties include assisting with developing and implementing innovative talent acquisition strategies aligned with organizational workforce planning strategies, operational needs goals, mission and values.
ESSENTIAL DUTIES: Proactively sources, interviews, and facilitates the selection of qualified candidates for open positions, utilizing the most effective recruitment channels and tools to attract top talent.
- Maintains the applicant tracking system, extends job offers, posts job openings, manages new hire and employee status change paperwork, conducts I-9 verification, manages E-Verify cases, coordinates background checks, drug screens, verifies driving record checks, arranges DOT physicals, creates and updates recruitment checklists and SOPs, facilitates orientation, transfers, promotions and communication with hiring personnel.
- Collaborates with hiring personnel to identify the skills and competencies aligned with operational needs, organizational goals, and the role requirements needed to fill vacancies.
- Creates, updates and maintains job descriptions aligned with the evolving roles of RGI employees.
- Collaborates and coordinates with Insperity PEO for recruiting services, priming and onboarding.
- Identifies and implements efficient and effective recruiting methods and strategies based on the available role, industry standards, and the needs of the organization.
- Schedules interviews and proactively develops, updates, and maintains effective screening tools, interview questions, and other materials to support the hiring and selection process.
- Trains hiring personnel on legal interviewing and selection techniques and participates in interviews with hiring teams when needed to ensure compliance and effective candidate evaluation.
- Oversees onboarding and orientation efforts, partnering with hiring personnel and HR to develop offers and recommend salary ranges, incentives, start dates, and other essential details, ensuring a smooth transition for new hires and status changes for existing employees.
- Ensures compliance with all federal, state, and local employment laws, company policies, and timely updates and postings of labor compliance notices in physical work locations and electronic platforms accessible to remote workers.
- Completes all internal and external reporting accurately and promptly, utilizing data sourced from the Insperity and internal company drives.
- Communicates with employees and managers about work authorization status to ensure compliance with legal requirements.
- Develops and maintains connections with internal and external recruiting stakeholders and engages with passive and active candidates to cultivate a pool of potential talent to fill current and future job openings.
- Collaborates with the VP of HR to align recruitment strategy with organizational needs, like recruitment budgets and staffing models.
POSITION REQUIREMENTS: Education/Training: - Bachelors degree in HR, business, or a related field or equivalent experience and 2+ years related experience.
- A minimum of three years of recruiting, including managing all phases of the recruitment and hiring process, highly preferred
- Strong communication skills, ethics, and cultural awareness
- Proficient knowledge of MS Office, HRIS systems, and comfortable learning new technical systems as needed
- Excellent verbal and written communication skills.
- Excellent interpersonal skills, with good negotiation tactics.
- Strong analytical and problem-solving skills.
- Ability to create and implement sourcing strategies for recruitment of a variety of roles.
- Proactive and independent, with ability to take initiative.
- Excellent time management skills, with proven ability to meet deadlines.
- Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
- Proficient with, or able to quickly learn, applicant-tracking software or other recruitment system.
- Ability to work as a team member and uphold organizational standards and values.
PHYSICAL DEMANDS: - Sedentary Work: This position primarily involves sitting for extended periods while working at a computer, conducting interviews, and participating in meetings.
- Communication: Must be able to communicate effectively, both verbally and in writing, with candidates and team members.
- Mobility: Ability to move within the office environment to attend meetings and interact with staff as needed.
- Visual Acuity: Requires the ability to read documents, screens, and other materials, as well as to assess candidate materials and presentations.
- Travel and Site Visits: Occasional travel between RGI facilities to train employees, attend job fairs, recruitment events, and in-person interviews.
- Motion and Lifting: Occasional bending/walking/lifting up to 25 pounds.
Working Conditions: - Office environment with travel as needed (including use of personal car) and hybrid work schedule.
