The Office Manager, more than any individual, works closely with the doctor and staff to ensure that all the business aspects of the practice are functioning in an orderly and proficient manner. The administrator communicates the practice philosophy through systems, problem solving and communication. This individual strives to bring out the best in the entire staff, for the benefit of our patients. As the doctor’s right-hand person, you make known the doctor’s philosophy to dentistry in everything you do- from scheduling systems, financial arrangements and staff concerns. You are, essentially, accountable for everything, so your role is complex. You are the main conduit of information between doctor and staff. A large part of the practice’s success will hinge on your efforts and reflect on you.

  • Daily, monthly and yearly collection goals achieved
  • Internal patients generated as a result of asking for referrals
  • Positive patient reviews of their overall visit
  • Patient monitors indicate an 85% case acceptance rate on significant treatment
  • Support of the overall goals and strategies per the annual plan
  • Appropriate A/R ratio A/R breakdown

Qualifications and Skills

  • Determines work procedures, prepares work schedules and expedites workflow
  • Prepares composite reports from individual reports of coworkers
  • Ensure that patients are appropriately seen and treated in a professional, timely and competent manner
  • Schedule patients over the phone and face to face
  • Send patients statements in a timely manner
  • Determines insurance eligibility, limitations and payment estimates necessary to facilitate financial arrangements
  • Effective collection system from first call, letters and beyond
  • Excellent math skills and attention to detail
  • Keen understanding of scheduling and financial systems in order to support the practice
  • Prepare a financial action plan by reviewing the patients for the next day and determining their financial needs and their status
  • Prepare consultations for patients
  • Tracking of all patient payments and insurance follow up
  • Overall understanding of office vision and systems

  • Monday and Tuesday 7:30- 5:30, Wednesday and Thursday 6:30-3:00.
  • No Fridays, or Weekends
