Caffe Luxxe is looking for a highly motivated individual to join our Caffe Luxxe family in Gardena!

JOB TITLE: Office Administrator 

REPORTS TO: Director of Operations

JOB DESCRIPTION:

The Office Administrator will coordinate all happenings at our business headquarters. They will assist in coordinating meetings, cleaning common spaces, answering the phone and being the pillar of support to the Executive team. The Office Administrator will also act as the liaison between customers and the sales and operations teams.

MAIN RESPONSIBILITIES:

  • Maintain order throughout the building by keeping necessary supplies stocked and ensuring shared spaces are clean and tidy
  • Support the Executive team by scheduling meetings and appointments as requested 
  • Collaborate and communicate with department heads to support personnel, management and customers
  • Assist Human Resources with hiring needs by scheduling potential candidate screening calls and interviews
  • Support the Sales team with new customer onboarding by entering customer information into NS and corresponding with new customers as requested
  • Work collaboratively with the operations team to resolve customer order issues as they arise, always putting the customer’s needs first
  • Assist with order invoicing and order processing as assigned
  • Support the AR/AP team with payment processing and bookkeeping tasks as assigned
  • Answer all phone and email general inquiries

QUALIFICATIONS:

  • Must be efficient and comfortable in a multi-tasking work environment
  • Excellent organizational/time management skills are a must
  • Self-motivated with strong initiative, high energy and positive can-do attitude
  • Excellent communication skills
  • Comfortable working alone or in a team
  • Enthusiastic learner
  • Focus on detail, quality, and accuracy
  • Ability to take direction
  • CA drivers license and a car 
  • High School degree or equivalent, College preferred

The position is based in Gardena
